This policy covers the Stump Boss website: what it collects when you use the quote and enquiry form, and what happens to that information afterwards.

What the form collects

The quote and enquiry form on this site asks for your name, phone number, an optional email address, your suburb, and details about the job. A quote request can also include between one and five photos of the job.

Photos

Any photo you submit with a quote request has its location data (EXIF and GPS metadata) removed automatically when it is uploaded. The photo itself is used only to prepare your quote.

Where a submission goes

A submission is emailed to Stump Boss so it can be actioned. A copy is also kept on a server located in Australia for up to 90 days, after which it is deleted automatically. That server copy, including any photos attached to it, is not kept beyond that period. The emailed copy sits in Stump Boss’s own mailbox and is kept until it is deleted there, which is not automatic. The email is sent through Resend, an email delivery service, which handles the message and its attachments in order to deliver it.

The job list

When you send a quote request, Stump Boss also adds a short record to a private job list so it can follow the job up: your first name, your suburb, the type of service and your phone number. Photos are not copied into it. Later Stump Boss adds whether the job went ahead, and may add the amount charged and a short note. The amount is kept so Aaron can keep an income record and Stump Boss can see how many quotes become jobs.

About a week after your quote, if it has not been recorded either way, Aaron is sent a reminder to say whether the job went ahead. That reminder is an email to Aaron, and it does not include your phone number.

Review requests

If a job goes ahead, Aaron sends you one text message from his own phone, about two days later, to ask whether you would leave a review on Google. The text says it is from Aaron at Stump Boss, and tells you to reply STOP if you do not want another. Nothing is offered in return for a review. You are texted once for a job and never again for it. The text is not sent by a texting service: the email Aaron gets to prompt him includes your phone number so he can send it, and that email stays in his mailbox until he deletes it.

If you reply STOP, Aaron records it. Stump Boss then keeps a scrambled version of your phone number (a one-way hash made with a secret key, which cannot be turned back into the number) on a list of numbers that are not to be texted, so a later job for the same number does not get a review request. That list is kept for as long as it is needed to honour your request, and it outlives the deletion of your job record.

How long the job list is kept

Your phone number is deleted from the job list when the review text is sent, when the job is closed, when it is recorded that the job did not go ahead, or when repeated follow-ups get no answer, whichever comes first. The rest of the record (first name, suburb, service, outcome, and any amount or note) is deleted 12 months after your quote request. This is done automatically every day, and Stump Boss is alerted if that clean-up fails to run.

Analytics

This site uses Google Analytics 4 to understand how visitors use it. It records page views, and two events: when the quote or enquiry form is submitted, and when a call button is tapped. No advertising features of Google Analytics are enabled, and this site does not use advertising cookies or share data with advertising networks.

Spam protection

The quote and enquiry form uses Cloudflare Turnstile to block automated spam submissions. Cloudflare processes a limited amount of technical information (such as your browser and network details) to do this. Stump Boss does not control what Cloudflare does with that information beyond this use; see Cloudflare’s own privacy policy for details.

What Stump Boss does not do

Stump Boss does not sell the information it collects through this site to anyone.

To access or correct information Stump Boss holds about you, contact the phone number on this website.

Australian Privacy Principles

Stump Boss is a small business and may be exempt from parts of the Privacy Act 1988 (Cth) on that basis. It chooses to handle personal information in line with the Australian Privacy Principles regardless. If you have a complaint about how your information has been handled and are not satisfied with the response from Stump Boss, you can contact the Office of the Australian Information Commissioner (OAIC).
